OtaHoas rules and checklist for reservable club rooms

Go through the items and fill them in as best you can. It is better to report than to ignore something. Review these at the beginning and at the end of your reservation. Report your answers, any deficiencies, and observations HERE_LINK (coming soon).

Quiet hours begin at 22:00 before weekdays and at 23:00 before weekends.

Rules

  1. Follow the instructions and orders of key holders, members of the residents’ committee, and the room guidelines.
  2. The reservation is cancelled if you are not present when the reservation begins.
  3. You must be present for the entire duration of the reservation. You may leave only very briefly for a compelling reason. You must be the last person to leave the space.
  4. When the room is in use, there must always be an OtaHoas resident or a representative of the association responsible for the space present.
  5. The final inspection must be completed by the end of the reservation even if you are allowed to stay in the space longer.
  6. Be careful when using the space and its equipment.
  7. Do not touch technical equipment, cables, or other equipment without permission and instructions.
  8. Do not turn off technical equipment if it was already on when you arrived, except for displays.
  9. Do not move shelves or other furniture, except for sofas and chairs.
  10. If you have questions, concerns, or problems, contact a key holder or the residents’ committee.
  11. Use common sense when making noise. Be mindful of other residents in the building and respect quiet hours.
  12. The facilities and resources are for residents only. Spaces cannot be reserved or given for events or use by another person, association, etc.

Initial inspection

  1. The club room looks clean and tidy.
  2. The kitchen looks clean and tidy.
  3. The toilet looks clean and there is toilet paper.
  4. The trash bins are not full.
  5. Surfaces are clean.
  6. Go through the room-specific items.
  7. Confirm to the key holder that everything is OK or report any deficiencies.

Final inspection

  1. Clean up after yourself: the club room and kitchen. Wash and dry dishes and return them to their place.
  2. Move items back to their original places.
  3. Turn off displays and projectors.
  4. Remove everything you brought that does not belong to the club room, including food.
  5. Take out all trash even if you did not fill the bins.
  6. Close all windows.
  7. Ensure the microwave, oven, stove, or other kitchen appliances are not left on.
  8. Close all faucets and ensure the toilet is not running.
  9. Go through the room-specific items.
  10. Turn off all lights.
  11. Lock all doors.
  12. Provide suggestions for improvements.
  13. If something broke or any textile surface was dirty, report it.
  14. Report when you leave the space.

Room-specific items (most important items; the residents’ committee decides based on feedback from associations and key holders)

  1. Sofas look clean.
  2. Computers and technical equipment are in order.
